Volunteer

The Hopkins Youth Hockey Association is an organization run by its volunteers and depends on the assistance of its members to be a successful organization. It is critical that we all share in the commitment to produce a quality program. Volunteers are absolutely essential to maintaining and growing the Hopkins Youth Hockey Association. The more volunteers we have, the better our association becomes.

HYHA Volunteer Policy

  • Every HYHA family is required to complete volunteer hours (please note that this is a per player requirement).
  • Each volunteer shift is generally 3-4 hours in duration.
  • Working the clock, penalty box, music, or announcing at home games for your travel teams are considered part of your duties in having a player in the travel program. These hours WILL NOT count toward total volunteer hours worked.
  • No roll-over of volunteer hours will be allowed from year to year.
  • A buy-out option of $250 per player is available during the registration process. If a family chooses not to pay for the buyout option and does not complete the required volunteer hours by the end of the season, a $250 fee will be automatically charged to the form of payment on file.
  • Families may hire a volunteer sub to cover their shift(s) from the approved sub list below.
  • It is the responsibility of each family to sign up for the required number of volunteer hours (shifts will not be assigned by HYHA).

Volunteer Requirements

Mite/6U & 8U families are required to complete 8 hours of volunteer shifts per player (max 16 hours per family)

Travel (Squirt/10U and above) families are required to complete 12 hours of volunteer shifts per player (max 24 hours per family).

HYHA Board Members must complete 3 Headquarter shifts (15 hours) for the Raspberry Jam and/or HYHA hosted district tournaments. These shifts cannot be fulfilled by substitutes. These are the only required volunteer shifts for board members.

  • If any board member has not signed up for their shift by the designated deadline date, they will be automatically signed up by the Tournament director. If the assigned time does not work, it is the Board members’ responsibility to switch assignments.


Exemptions

  • Head coach for each Mite team.
  • Parent coaches for travel teams (up to three per team, not including coaches that are a parent of a player with a parent/guardian on the board).
  • Team Managers (up to 2 per team)


  • Exemptions are granted only for the hours due for the player the parent coaches or manages


Volunteer Shift Sign-up Process

Family Members need to sign-up for their volunteer shifts within their account on the hopkinshockey.com website. Sign-ups are not available in the app. You must be signed into your account in order to sign-up. Within your account, in the drop-down menu on the browser or desktop version, there is a "volunteer" section.

Under the volunteer section, members will see the total number of volunteer hours required, how many have been fulfilled, as well as any available volunteer opportunities. Select "more information" under the available volunteer opportunities to view the volunteer shifts. To sign-up for a specific shift, select the "+" for the shift and then choose the member that will fulfill the shift (only members tied to your player's profile will appear in this list).

Volunteer shifts will appear on your family calendar (website version only) and reminder emails will be sent before the shift.

Volunteer Sub List

If a family decides to hire a substitute from the approved substitute list to work some or all of their required volunteer hours, the family is responsible for contacting the substitute, paying them at the recommended rate of $15 per hour, and communicating with the volunteer coordinator about who will be completing the shift. Volunteer credit will not be provided if the shift is not completed.

Volunteer FAQs

Can I cancel a shift if something comes up?

Cancellations will only be honored if requested more than 7 days prior to the shift. If there is a hardship, please contact the volunteer coordinator. If you are unable to cancel a shift you can always try to hire someone to work it for you. (see the list of individuals available to hire). It is unacceptable to show up for a shift, sign in and then leave before the end of the shift.

When will my shift be credited?

The sign-in sheets from the concession stand and tournaments will be used to confirm the hours have been fulfilled. The system will be updated within 2 weeks of the shift. Be sure to sign in and complete the required information on those sheets. If you do not receive credit within 14 days of working your shift, please contact the Volunteer Coordinator.
