Team Manager Handbook

The team manager is in charge of all operational aspects of the travel team; in support of the coaching staff. They are the main liaison between the coaching staff, parents, HYHA board, and MN Hockey District 3. The Team Manager is the key communicator and organizer for parents and coaches to ensure a smooth and successful season.

Primary Resposibilities

Team Communications Director

  • Establish a team communication method (ie: GroupMe or Cross-bar app). Work with coaches to set-up season kick-off parent meeting to set expectations for the season. Take the lead on all communications to the families throughout the season.
  • Ensure all players, parents and coaches have reviewed and understand expectations of the respective code of conduct prior to the team's first practice of the season.
  • Identify/assign parents for the locker room monitor role for all games. All locker room monitors must be the same gender as the players and must complete the SafeSport certification and a background check.
  • Communicate picture day details once available

Team Treasurer

  • Manage team funds: A budget, checkbook/debit card and tracking document will be provided by the HYHA Treasurer
  • Funds may be used for things like, referee fees, additional tournament registration fees, coach gifts, player gifts and/or apparel, team events, team meals, end of the season party, etc.

Team Scheduler

  • Make sure the team calendar is accurate and up to date by comparing the HYHA loaded district game schedule to the posted schedule on the D3 website.
  • Work with the coaches and HYHA ice scheduler to request any changes to the practice schedule, including the addition of scrimmages (see schedule change request and scrimmage request process below) and ensure the calendar reflects those changes once approved.
  • Add tournament dates to the team calendar and the games once the schedule is available. Book additional tournaments (if desired by coaches and team) *need HYHA approval

Scrimmage Coordinator (unless this role is filled by another parent or coach)

  • Work with coaches to identify teams and dates to schedule scrimmages (follow the scrimmage request process below)
  • Schedule and pay refs for scrimmages (see ref scheduling instructions below)

Game Day Coordinator

  • Organize a sign-up or assign gameday tasks to family members
  • Penalty Box, Gamesheet & Clock (music & livestreaming are optional) are required for all home games. Only Penalty box is needed for away games (not including tournaments)
  • The Team Manager needs to get the iPad from the safe and ensure the roster and coaches are correct for each team in Gamesheet. After the game, make sure the game was uploaded before putting the iPad back in the safe. The code to the coaches closet with the iPad safe will be provided by HYHA at the beginning of the season.
  • If an emergency back-up goalie (EBUG) is needed, you must complete this form
  • For Home games/scrimmages, make sure Refs are onsite at least 15 minutes before game time. If they are not there, contact Beltline Refs immediately (612)618-4001

Tournament Primary Point of Contact

  • Make sure families have the hotel information for away tournaments and book rooms under the HYHA room blocks before they expire (HYHA Tournament Director will provide the hotel details shortly after teams are announced).
  • Reach out to the tournament director(s) to confirm requirements for participation and submit whatever is required (usually the USA hockey certified roster is the primary requirement, which you will receive from the Registrar at the beginning of the season).
  • Book a team room if available/desired at the hotel.
  • Organize team activities/meals based on the game schedule.
  • Check the team in at the tournament before the first game.

Social Coordinator

  • Plan team social events including end of the season celebration
  • Submit social media post requests (for Instagram, send a direct message on the Instagram Hopkins Youth Hockey page)

District 3 Requirements

One Team Manager per team must register with District three and attend the Mandatory Team Manager and Coach meeting at the beginning of the season. The Date/time/location will be published on the D3 website.

*Failure to attend will result in a 1 game suspension of the head coach

Each Team Manager must register with USA Hockey and complete the SafeSport Training

If your team is traveling out of state for a tournament, you must complete the D3 out of state travel form

GameSheet

Gamesheet is the scoring app used for all HYHA games. Each team manager will be provided a Gamesheet invitation code for their team. You will need this code to set up a Gamesheet account, if you don't already have one. If you already have an account, you will need to go to the drop-down under your name (after you log-in) and select "accept invitation" to enter your new team invitation code.

The iPads at the PAV and MIA-A will already be logged into the app. Follow the instructions under the Gamesheet scoring guide link to load your game from the D3 schedule or create one for a scrimmage.

Rewards and Recognition

Shut Out Wall (Goalie completes an entire game without allowing a goal)

  • After a shut-out, give the goalie a puck with "shut out" written on it (use stick tape and sharpie) and take a picture for social media posts and Goalie shut out wall. Submit the information (goalie name, date of game, opponent, score and picture of goalie if available) here

Playmaker (A player has 3 assists in one game), Hat Trick (a player has 3 goals in one game) & Zero (Goalie completes an entire game without allowing a goal) Award Patches

  • After a player achieves a hat trick or 3 assists in one game, give the player a puck with "hat trick" or "playmaker" written on it (use stick tape and sharpie) and take a picture for social media posts
  • Complete the award patch form and the patch will be mailed to the player from the HYHA board President.
  • Limit of ONE of each award per player per season
  • All Squirt/10U and above players are eligible
  • The game must be league competition (not scrimmage or exhibition), a sanctioned tournament or a MN Hockey playoff involving only USA Hockey registered teams
